Policies & Procedures
Attendance: Call the Academy at
303-670-1721 if your child will be late or absent from school. Notify your
child's teacher if you foresee other, unavoidable absences.
School Hours: School hours are 8:30a.m. -
3:30 p.m.: Half-day Kindergarten 8:30 - 12:30p.m. Children are expected to be in the
classroom by 8:25.
Drop off and Pick Up
Procedures established to avoid unsupervised children in the school:
Morning Drop Off:
Students should be enrolled in before-care if
they arrive at the building prior to 8:10. No other students should be in the
building at this time. From 8:10-8:25, students should line up on the
playground until they are admitted to their classrooms by their teachers.
We ask all students to be in their classrooms by
8:25, entering through their classroom doors. After 8:25, students will be
considered tardy; teachers each have classroom consequences for tardiness.
Parents, please allow your student to enter their room independently, and to be
responsible for their own belongings. This will help eliminate some disruptions
and confusion in the mornings.
Middle School students should also line up on
the playground and will be dismissed by 8:25 to go to their lockers and then to
their first class. Band students arriving for morning band practice must wait
outside the cafeteria with their parents until the Band Director admits them to
the building.
Afternoon Pick Up:
Kindergarten pick up is from 12:30 to 12:40 in
the lower parking lot.
Students should be enrolled in after-care if
they will be picked up after 3:40pm. At 3:25, all students should be lined
up in the cafeteria in their appropriate lines. Parents are to pull up outside
the cafeteria in two lines with their numbers displayed. Teachers will dismiss
the students to their cars when the child's number has been called. Numbers are
given to each family upon registration.
Students not picked up by 3:40, and not in an
after school class, will be brought to after-care; parents will be responsible
for a $15 charge, per student.
Absences: Absences and tardiness may be
excused or unexcused. An excused absence or tardiness includes a doctor's excused
illness, an accident, a road closure, or death in the immediate family. Other
absences or tardiness are unexcused. An accumulation of 10 unexcused absences or
tardies per year may result in mandatory tutoring or demerits. Children are
considered tardy after 8:30 a.m. and absent for ½ day after 9:30 a.m.
Early Pick up: Parents are asked to avoid
picking up their children early whenever possible. Please sign your child out in
the office if picking him/her up early.
Makeup work: Parents may request missed
work from the teacher. Generally, students will have one day for each day absent
to return missed work (e.g. a child gone 5 days will have 5 extra days in which
to return work).
Snow Days: Snow Days and Late Starts will
be announced by 6:00 a.m. on KOA radio (850AM) and Channels 2,4,7, and 9. Parents
may also call the school after 6:00 a.m. for recorded information. The Before and
After School Program will be closed whenever Evergreen Academy is closed.
Inclement and Excessive Weather: Children
will go outdoors daily unless the weather is inclement or excessively hot.
Parents are required to provide appropriate outdoor clothing for their children.
Sunscreen and water bottles also need to be provided by parents.
Visitors: We welcome parents to visit at
anytime, with or without advanced notice. Currently enrolled parents wishing to
visit in a classroom are asked to coordinate visits with the classroom teacher.
Visitors not known to the staff at Evergreen Academy must report to the Directors
or their Assistant and sign a form reserved for this purpose.
Marking Period Parties: Scheduled four
times each year, these parties include food, games and prizes for students that
have not received demerits during the preceding marking period.
Parent Conferences & Marking Periods:
Parent Conferences are held twice annually; report cards are sent home four
times annually. Both parents are strongly encouraged to attend parent
conferences. Parents or teachers may request additional conferences as needed. A
midterm notice will be sent home if your child currently has a grade below C.
Standardized Testing: The Iowa Test of Basic Skills (ITBS) is
administered each April to children in Grades 1-8. This test is a widely
accepted, standardized test of academic skills. Results of the ITBS, normalized
against other students nationwide, are sent home at the end of the school year.
Student Safety
Emergency Information: Please be sure to
provide the office any changes to your contact information immediately.
Release of Students: Students are not
allowed to leave school unsupervised during school hours. Children will only be
released to a parent/guardian or person listed on the pickup list.
Illness: Students who become ill while
at school will be comfortable in the office while their parents are notified for
pick-up. No medications will be administered except those in their original
prescription bottles or with written permission from a physician.
School Nurse: Evergreen Academy
contracts with a registered nurse with a masters degree in pediatric nursing.
Reporting of Abuse:
Any employee or volunteer of Evergreen Academy is responsible to observe and
recognize signs of physical and sexual abuse among the students at the school.
If an employee or volunteer has reasonable cause to suspect that sexual or
physical abuse has occurred or is occurring with any student at the school, that
employee must report the same to the administrator on duty at the school or to
the Jefferson County Department of Social Services. Administrators receiving
such a report will follow established school policy in handling the situation.
Medical Emergency: In the event of a
medical emergency involving your child we will make every attempt to reach you
at the contact numbers you provide. Should you be unreachable or unavailable, we
will make an assessment of medical needs and proceed with what we think meets
the best needs of the child. All medical decisions executed by Evergreen Academy
are at the expense of the family.
The Health and Safety of Your
Child
Evacuation Plan

We would only evacuate the school if instructed
to do so by police or fire officials.

If we were notified to evacuate, we would
immediately contact you and/or your emergency contacts, giving you one hour to
pick up your children.

Evergreen Academy parents would sign out their
children as usual.

All attendance and sign-out sheets will be kept
with Chris Lierheimer at the evacuation point.

Any children not picked up after one hour would
be transported by staff to the evacuation point designated by officials.

In the event that the school needs to be closed
for an entire day, we would use our existing Snow Day system (call for an
outgoing voice mail announcement; watch Channels 2,4,7, and 9).
Statement on Handling Special Needs Children:
Children with special needs of any kind are welcome. We enroll such children
after evaluating that child’s need and our staff’s capabilities.
Release of Students: Students are not

Late/No Pick Up Policy: You are expected
to leave with your child each day by 6:00 p.m. If a child is not picked up by
6:00 p.m., the staff will begin calling parents' work numbers, authorized to pick
up contacts, and emergency contacts. If we are unsuccessful in contacting an
appropriate person to pick up the child, the Headmaster, Chris Lierheimer will
take the child to the Lierheimer's residence.
Snack and Lunches: During After Care a
snack and milk or juice will be served to each child.
Supervision: Staff members take a
physical count of children in attendance when entering or leaving the building.
When outside, staff are constantly watching children on the playground. Children
are counted every 10 minutes and upon coming back inside.
Withdrawal Policy from BC & AC Program:
If at any time a parent no longer requires the BC/AC program, the parent must
notify the Evergreen Academy office.
Personal Belongings: Any personal
belongings a child brings to the BC/AC program will be kept in the hallway in
an organized manner.
